What you need to know
Congratulations on your job offer! We look forward to welcoming you to a rewarding career at Sandia. To accept your offer, and learn more about the Onboarding process, please follow the steps below. HR must receive all forms at least two weeks prior to your tentative start date.
Review your job offer letter and establish a start date
Review your job offer letter, discuss any questions you may have and establish a desired start date with your hiring manager (or mentor if you’re an intern reporting to SNL/CA).
If you have any questions, contact your Talent Acquisition Partner listed in your offer letter.
Choose a tentative start date from the New Hire Sign-in List for the site you’re reporting to:
Sandia New Mexico (and all other sites)
Sandia California (and ESE/JBEI)
You must choose a date on the list; no other dates are available.
When you and your hiring manager agree on a start date, follow the information on your offer package.
NOTE: If you are transitioning from a Sandia temporary position to a Sandia regular position, the effective date will be on a Friday; the specific date will be provided to you by your staffing representative.

By accepting your job offer, you verify that you’ve read and agree to comply with the handbook and to uphold the high standards of Sandia.
Submit ALL forms included with your job offer package
Complete, sign, and submit your employment acceptance forms to Sandia HR.
The employment acceptance documents will be sent to you as part of the offer package. All forms are to be completed and submitted electronically. Sign all required pages (by hand or electronically). If you use an electronic signature, it must be printable and reproducible.
The below forms are required if you are currently under 18 years of age:
- Medical Consent form– If applicable, please have your parent or guardian complete, sign, and return this form.

- State of California Intent to Employ a Minor and Request for Work Permit – If applicable, complete the Minor’s Information and School Information and return this form. We will complete the Employer section and return to you to have completed by your parent and then take to your school to obtain the work permit. We must have the work permit no later than 2 weeks prior to your start date.
- Medical Consent form – If applicable, please have your parent or guardian complete, sign, and return this form.

Illegal use of a controlled substance, including marijuana even in places where it does not violate state law, may impact your ability to obtain and/or maintain a Department of Energy security clearance, and may result in the withdrawal of an employment offer or termination of employment.
Complete pre-employment background review
Complete, sign, and submit the Pre-Employment Background Review (PEBR) form.
You will receive the PEBR form and instructions with your formal job offer package from Sandia HR.
Submit the PEBR: expect a generic email from mft@sandia.gov. Do not submit your PEBR as a part of your offer package; follow the instructions provided on the PEBR cover letter.
Important: The pre-employment background review can take a minimum of 8-10 business days to complete. It is strongly advised that you return the completed PEBR form as soon as possible to avoid any delay with your selected start date. This requires prompt attention as the link will expire. The PEBR must be uploaded via the instructions using the MFT tool.
If you have not received the RMFT e-mail within 24 hours of receiving your job offer or for technical assistance with the RMFT electronic inbox, contact HR Solutions or Student Intern Programs .
Take initial steps for DOE security clearance investigation, if required
If it is determined by your Sandia manager that you require a DOE clearance, they will initiate the request and the Sandia Personnel Security Clearance Office will contact you with specific instructions.

Schedule a drug screening analysis as soon as possible
All of the following criteria must be met for the pre-employment drug screen process, otherwise your start date will be delayed.
- You must complete a drug screen no more than 90 calendar days prior to your start date, with satisfactory results being received a minimum of 7 calendar days prior to your start date.
- Once your sample is submitted, it can take approximately 3-5 business days to process.
- Processing delays may occur due to holidays, so please plan ahead if there is an upcoming holiday.
Local Albuquerque Candidates:
If you live in the Albuquerque area, you are required to complete your pre-employment drug screen at Quest Diagnostics located at 8900 San Mateo Blvd, just north of Alameda Blvd. This is the only collection site approved. No others are accepted.
- Hours of collection are 8:00am to 3:00pm.
- This is a walk-in collection site and therefore appointments cannot be made.
- Ensure you take the following information with you:
- Your photo ID, typically a drivers license. The Quest staff will need to review your photo ID, to validate who is being tested.
- SNL Employee ID number – Please reference your Job Offer Acceptance email for your SNL Employee ID number (Subject Line: Action Required: Employment Acceptance Received).
- Please drink plenty of water before going to the collection site. You will be required to provide 2 oz of urine. If you are unable to provide a sample, you will be required to stay there for up to 3 hours or until you can provide the amount needed. Quest follows Federal Regulations that prohibit the donor from leaving once they are checked in and start the collection process.
- After you have provided the sample, the collector will finish the process and they will give you a copy of the paperwork. Please hold on to this paperwork for your documentation.
Non-Local Albuquerque Candidates
Once your employment acceptance forms have been submitted to your Staffing representative, Medical will be prompted to contact you regarding a drug screen appointment. If the nearest drug screening facility is more than 50 miles from your residence, contact HR at 505-284-4700 to determine if you are eligible for travel reimbursement.
Local Livermore Candidates
If you are reporting to the Livermore site and live in the Livermore area, schedule a drug screen analysis onsite by contacting Sandia Medical in Livermore at 925-294-2700.
Non-Local Livermore Candidates
If you are reporting to the Livermore site and do not live in the Livermore area, request a drug screen packet and location information by contacting Sandia Medical at 505-844-1892. If the nearest drug screening facility is more than 50 miles from your residence, contact HR at 505-284-4700 to determine if you are eligible for travel reimbursement.
*If your hiring manager initiates a Department of Energy (DOE) security clearance, a second drug test may be required to meet DOE policy requirements. Sandia’s Personal Security will contact you if an additional drug test is required.
Review and update physical work address before starting employment
Tax State Location Information: Employee’s tax locations are updated for all workers to align with the state in which the employee performs work due to taxation, worker’s compensation and other state compliance requirements. Please confirm your physical work location with your hiring manager. Then, follow the instructions below to update the address where you will be physically working.
Review and update your physical work address one week before your tentative start date. Failure to update your tax location prior to a physical change in location may result in taxes being deducted incorrectly on your paycheck.
Instructions to review and update physical work address before starting employment

Definitions:
- Hybrid work: Refers to a situation in which an employee performs work at a home work location and commutes to the primary Sandia work location as required (such as for meetings) within normal commuting times.
- Telecommuting can be short- or long-term in duration and will not result in a tax or geographic tier location change.
- Sandia recognizes three types of telecommuting agreements: full-time, part-time and occasional.
- Remote work: Refers to a situation in which employees are authorized to work 100% of their time from a non-primary Sandia work location and are not readily available to report to the primary Sandia work location (as defined by managers) within normal commuting times.
- Remote work arrangements involving more than one state are not permitted.
Obtain your DBIDS pass (NM only)
You will only need a Defense Biometric Identification System (DBIDS) pass if working in Albuquerque, New Mexico.
DBIDS is used at Kirtland Air Force Base (KAFB) entry points to confirm authorization for base access. Your manager, or an assigned delegate, will contact you regarding completion of the DBIDS form. If requested, it is important that you complete and return the required DBIDS form to your manager, or the assigned delegate, immediately upon request.
Note: Non-U.S. citizens do not need to complete the KAFB DBIDS Long-term Request Form as this will be completed through a separate process.
Learn about relocation benefits
If you accept the job offer and are eligible for travel reimbursement, TRC Global Mobility, Sandia’s relocation vendor, will contact you to begin setting up the relocation process within 24-48 business hours of Sandia’s receipt of your Employment Acceptance form and other required forms.
If desired, contact TRC Global Mobility at 800-783-5337 regarding relocation benefits. At your request, TRC will provide a pre-decision consultation to discuss any applicable relocation benefits.
Student Interns: If you accept the job offer and are approved for relocation benefits based upon your submittal of the Student Intern Relocation Benefits Request form, you will be contacted by TRC Global Mobility to initiate and discuss the reimbursement process.
